It takes a team of dedicated people working together to make all of the events happen at Big Creek Elementary School.  We are super fortunate that several of our Committee Chairs are returning this year.  There are several open positions that we need to have filled.  Unfortunately, without a Committee Chair in the OPEN roles, those activities will not be planned for this school year (with the exception of the Vision and Health Screening).

How do PTO committee chair positions get filled?

Once a PTO board is elected, the PTO president for the following school year will begin seeking individuals to fill committee chair roles. If you are interested in an open PTO committee chair position please email our president.

Big Creek Elementary School PTO Committee Descriptions

Around the World Chair

• Plan and manage Around the World (to be held in the fall)

• Create a committee of volunteers interested in helping with the event

• Create and distribute flyers to recruit volunteer families as host countries

• Promote Around the World to school, students, and families

• Stay within the budget

• Notify Learning Bridge with the date of the event and ask permission to use the cafeteria/gymnasium

• Direct the setup and operation of the Around the World event

• Work directly with the overseeing Vice President 

• Maintain a file of all your work, including photos of displays and samples of each document.

• Submit approved expenses via the appropriate PTO form to the Treasurer in a timely manner.

• Attend Board of Directors and General PTO meetings (minimum of 2 per year)

Art Contest Chair

• Plan and manage the Art Contest

• Create a committee of volunteers interested in helping with the event

• Promote the Art Contest to school, students, and families

• Collect, organize and mail in all Box tops submitted by school

• Promote programs include Box Tops for Education and other Merchant Rewards (AmazonSmile, Kroger, Ingles, Publix, and Office Depot) to school, students, and families

• Communicate how the program works and how much the school has earned to school, students, and families

• Work directly with the overseeing Vice President

• Submit approved expenses via the appropriate PTO form to the Treasurer in a timely manner

Father/Daughter Dance Chair

• Plan and manage the Father Daughter dance (to be held in the spring)

• Secure a venue for the event (contract to be signed by PTO President)

• Create a committee of volunteers interested in helping with the event

• Promote the dance to school, students, and families

• Brainstorm a theme for the event

• Purchase items needed to make the themed night a success

• Consider photography options

• Stay within the budget

• Direct the setup and operation of the Father Daughter Dance

• Coordinate food and drinks for the event

• Secure 2 to 3 judges (judges who are teachers are recommended) to judge student essays

• Work with the office on a collection system (i.e. envelope or folder) for essays turned in to classroom teachers 

• Send winning essays via courier to the Honoring Our Heroes director

• Attend the Honoring Our Heroes county reception

• Stay within the budget

• Work directly with the overseeing Vice President 

• Maintain a file of all your work, including photos of displays and samples of each document

• Submit approved expenses via the appropriate PTO form to the Treasurer in a timely manner

• Attend Board of Directors and General PTO meetings (minimum of 2 per year)

Hospitality Chair

• Create a calendar of proposed events for the Executive Board to vote upon

• Recruit a committee of volunteers to help with Hospitality events

• Work with volunteers to facilitate a potluck luncheon to be held during Parent Teacher Conference days in the fall

• Organize and promote Teacher Appreciation Week (to be held in the spring)

• Direct the setup and operation of the events and activities

• Work with the treasurer to stay within budget

• Work directly with the PTO president

• Maintain a file of all your work, including photos of displays and samples of each document

• Submit approved expenses via the appropriate PTO form to the Treasurer in a timely manner

Literacy Night Chair

• Plan and manage Literacy Night

• Collaborate with a school staff member on both educational and fun aspects of this event.

• Recruit a committee of volunteers to help with Literacy night

• Submit approved expenses via the appropriate PTO form to the Treasurer in a timely manner

Mother Son Night Chair

• Promote the event to school, students, and families

• Purchase items needed to make the night a success

New Family Welcome Chair

• Recruit a committee of volunteers to help with New Family Welcome events

• Serve as main contact with the school secretary to obtain information on parents new to the school

• Send out Welcome letter to new parents that provides information about the New Family Welcome Breakfast

• Coordinate the New Family Welcome Breakfast

• Work with the treasurer to stay within budget

• Maintain a file of all your work, including photos of displays and samples of each document

• Submit approved expenses via the appropriate PTO form to the Treasurer in a timely manner

• Attend Board of Directors and General PTO meetings (minimum of 2 per year)

 

Spirit Wear Chair

• Design and order BCES PTO Spirit Wear items

• Work with a vendor to create designs.  Designs must be approved by the PTO President

• Keep accurate inventory of Spirit Wear items

• Manage order process.  Receive order forms, tally orders and money.  Report accurate date to Board in a timely fashion

• Keep accurate money counts (always with another person in the room) for treasurer

• Be present to sort orders and deliver ordered items to correct classrooms

• Prepare items and booth necessities for events when Spirit Wear is sold.  If unable to attend an event advice the overseeing Vice President

• Maintain a file of all your work, including photos of displays and samples of each document

• Submit approved expenses via the appropriate PTO form to the Treasurer in a timely manner

• Attend Board of Directors and General PTO meetings (minimum of 2 per year)

 

Talent Show Chair

• Plan and manage the Talent Show (to be held in the spring)

• Direct the setup and operation of the event

Vision and Hearing Screening Chair

• Work directly with our school nurse 

• Assist in recruiting a committee of volunteers to help with the screenings

• Work directly with the overseeing Vice President acting as a liaison between the nurse and PTO

Yearbook Chair

• Work with a committee of volunteers in taking pictures throughout the school year of different activities and events

• Request photo submissions from BCES parents and publicize the methods for submitting photos - including email, online, and with the smart phone app

• Work with the yearbook vendor to create final yearbook pages

• Facilitate the labeling and distribution of all ordered yearbooks

• Maintain a file of all your work, including photos of displays and samples of each document
